CareerPool is operated by 2476770 Ontario Inc ("we", "us"). This policy explains what personal information we collect when you use CareerPool, why we collect it, and the choices you have. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL).
1. Information we collect
Account information: name, email, password (stored encrypted), role, and organisation name for employers and institutions.
Job seeker profile: phone, city, experience, education, skills, resume, photo, video resume and documents you choose to upload, plus answers to employers' screening questions.
Employer information: company details, job postings, applicant decisions, interview schedules and notes.
Payment information: purchases are processed by PayPal. We receive the order status and amount, not your full card number.
Usage information: pages visited, device and browser type, approximate location from your IP address, and cookies needed to keep you signed in.
2. How we use your information
- To create and secure your account
- To show jobs near you and match candidates to jobs
- To send your application, profile and answers to the employer you apply to
- To send emails you need: application updates, interview invitations, password resets, invoices and package reminders
- To produce AI interview scores and job description drafts
- To prevent fraud, spam and misuse
- To improve the portal and measure how it is used
3. Who we share it with
Employers see your profile and contact details only when you apply to their job or they unlock your profile. We do not sell your personal information.
Service providers that help us run the portal (hosting, email delivery, payments by PayPal, AI processing) only receive what they need to provide the service.
We may disclose information if required by law or to protect the safety of users.
4. Emails and consent
You can unsubscribe from job alerts and marketing emails at any time using the link in the email. Service emails about your account, applications and invoices are still sent while your account is active.
5. Where your data is stored and for how long
Your information may be stored and processed in Canada or other countries where our service providers operate. We keep your data while your account is active and delete or anonymise it within 90 days after you ask us to close your account, unless the law requires us to keep it longer (for example invoices for tax purposes).
6. Your rights
You can access, correct or delete your profile from your account, or email us to request a copy or deletion of your personal information. You may also contact the Office of the Privacy Commissioner of Canada if you have a concern we cannot resolve.
7. Security
We use encryption in transit, encrypted storage for sensitive fields such as phone numbers, and access controls. No system is perfectly secure, so please use a strong, unique password.
8. Children
CareerPool is intended for people aged 15 and over who are legally able to work in Canada. We do not knowingly collect information from children under 15.
9. Changes to this policy
We may update this policy. We will post the new date at the top and, for important changes, notify you by email or in your account.
